About

The Office of Academic Services has limited funding available to support student presentations at academic conferences. The maximum amount per student is 2500 RMB for a domestic conference and 3500 RMB for a conference that requires international travel, but in order to maximize funding as many students as possible, students are requested to make every effort to keep costs to a minimum (such as sharing a room, sharing transportation, etc.). 

 

Please be aware of the following conditions.

  • Completed applications are due by 11:59 pm BJT at the end of every month to be considered at the start of the next month. Applications are only evaluated at the start of each month; this process continues monthly until the allocated budget is expended.
  • Preference will be given for invited presentations over contributed presentations.
  • Only enrolled DKU undergraduate students who are not on leave during the time of the conference (or the semester before and after for summer conferences), are eligible for these travel grants.
  • Students can be awarded this travel grant only once during their time at DKU.
  • If more than 2 students apply for the fund for one project, we can award the equivalent of the amount for 2 students only, and the students can divide the funding amongst the students as they wish.
  • These are travel grants: funding is provided for city-to-city travel and hotel accommodations only. Conference registration, visa fees, local transportation, transportation to/from airports, food, or other expenses are not reimbursable.
  • Maximum awarded: 3500 RMB for conference requiring international travel, 2500 RMB for conference requiring domestic travel. Please note that International versus domestic is determined by the details of the travel, not by the conference location being in China or outside of China. For example, if the student is studying away at Duke and travels to a conference in the US, it is considered domestic, not international. We do not cover travel the student would be doing anyway. Examples include:
    • If a student is headed to Duke for the term and wants to attend a conference in the US en route, we would not cover the airfare to the US. We might still cover the hotel accommodations.
    • If the conference is in a student’s home country and they would be going there for the summer anyway, we do not cover their airfare.
  • Students are expected to acknowledge support from DKU Office of Academic Services in their poster or presentation acknowledgements, as they would for other research funding.
  • Applications must include the document stating the student work has been accepted by the conference organizers for presentation.
  • Applications including travel must include a proposed round-trip transportation quote that shows the flight/train days and times as well as cost (a screen capture from Expedia or another travel site is acceptable). It is not necessary to purchase the tickets in advance, only to provide a possible itinerary. Please note that allowed travel modes and expense caps are limited by DKU policies.
  • Applications including hotel accommodations must include a hotel quote naming the hotel and dates. Please note that daily reimbursable accommodation amounts are limited by DKU policies.
  • Travel grant awards are not permission to delay class assignments, waive academic requirements, or reschedule final exams. Student must communicate directly with their instructors when conferences overlap with academic programs.
  • Official receipts and fapiao must be submitted to ug_acadservices@dukekunshan.edu.cn within one month of the last day of the conference, or the funds will be returned to the pool. The following materials, in addition to the airplane ticket and/or hotel folio, are also required to get the travel reimbursement: a confirmation of participation at the conference, and a confirmation of the presentation.
  • Awards are based on the current fiscal year. Requests received for travel that will take place in the following fiscal year can only be funded contingent upon the proposed budget being approved.
  • Recipients of conference funding must be enrolled as a DKU student in no more than their eighth semester at the time of presentation in the conference. For conference presentations that happen during the summer, the student will need to be enrolled in the following fall semester in no more than their eighth semester.
